Below are frequently asked questions for completing Personal Development Reviews online. The videos demonstrating how to complete an ePDR may also answer your questions, see the first FAQ.

Review forms have several statuses that they move between:
- Not started: The form has not been started by the reviewee or reviewer
- Started: You have saved an answer to at least one question in the review form. Answers are only visible to you until you share the form
- Shared: The reviewee or reviewer has shared their answers with the other form users
- Completed: The form is no longer editable, and comments are closed. Completed forms can be viewed in the Previous reviews section of your Me page. Forms are completed as soon as the reviewee and reviewers have signed off.

The PDR is between the “Reviewee” (the person completing their PDR) and the “Reviewer” (usually the line manager). The reviewer will see your form and add comments once you click “save and share”. The HR Team have administrative access to all PDRs to measure completion rates. They will not evaluate them.
If there is personal or sensitive data which you do not wish to include in the PDR you may wish to put a holding note in the form for discussion in the meeting.

The normal expectation is that PDR’s will be carried out with line managers. There may be cases where it is valuable to add an additional reviewer in the ePDR please see this FAQ.
Please contact the HR Team HR@phc.ox.ac.uk if your line manager changes and this information needs to be updated.
Why can I not sign off my form?

This could be because the other party has made further changes to the form before they signed off, but after you had signed off. Please check these changes and if you agree sign off. If you make further changes to the form they will be asked to sign off again.

On the ‘Me’ tab, under My Forms, click on ‘View previous forms’. Signed off and completed forms are shown here:
For a reviewer your reviewee’s completed forms will still show under ‘My Reviewee’s’ and the status will be updated to ‘Completed’.

Your job description was sent to you with your contract. If you do not have it on file please email hr@phc.ox.ac.uk. You can then upload it to the ePDR for future reference. To do this go to the 'Me' tab, below the forms in the 'My Notes' section click + note. Add a name and description and upload your job description for future reference. You can choose to share this note with your reviewer.

It is the department’s aim for everyone to have an annual PDR. Occasionally there may be a reason why you do not wish to have a PDR. On the first tab of the form you can indicate this here. This will be sent to your reviewer and you will both then need to ‘sign off’ on the form so you no longer receive reminders.

To receive email notifications you must have logged into the site at least once: https://phcpdr.simitive.com/
When a form is shared with you an email summarising all actions will then be sent the following morning. Alternatively if your reviewer/reviewee let's you know they've shared a form you can log in and view this immediately. Once viewed you will not be sent a notification email.

If a student is on the department's payroll then yes they should have a PDR. If not there is no need for them to have a PDR (and they won't have been allocated an ePDR account).

Your data will be retained/deleted in line with University Staff Privacy Policy for Retention of Personnel records.
If you wish to delete your ePDR data please contact the HR team.
