Temporary Staffing Service (TSS)
The University's Temporary Staffing Service (TSS) can be utilised to cover short term staff absences or short term additional work requirements.
TSS assignments must have funding approval | Assignments must only be initiated by a member of the HR Team upon receipt of the completed Recruitment Initiation Request Form
Assignment durations are available from 1 week and up to 12 weeks in the first instance | Assignments can be extended for a maximum of 36 weeks in 12 week blocks but should not be used to cover longer term absences for parental leave | Extensions must be approved by finance and requested by HR
TSS assignments and extensions are exempt from the recruitment protocol
Process for an assignment

Assignment Request Submit your request through the online recruitment initiation request form Draft a basic job description outlining the duties to be performed. | Assist with drafting of job description. Submit request for assignment to TSS. |
Selection Review CV’s provided and decide which candidates to meet with for interview. Contact TSS to request to meet with candidates they will liaise with candidates to agree a time and date. Set up the interviews. TSS will provide an email for the candidates that invites should be sent to. Decide which candidate can be offered the assignment and contact HR who will liaise with TSS and the candidate. Advise of your desired start date. | Contact TSS to offer candidate the assignment. |
Assignment set up Confirm assignment details with HR. You will need to provide details of who will meet the candidate on their first day, who the timesheet approvers will be (main approver and a secondary approver). Request MSD IT Network access for the candidate via a proxy application or ask the candidate to submit their request if required. Shared drive access can be requested via the Change Access Rights form. |
Agree start date with line manager to accommodate building access and IT account set ups. Provide assignment details to TSS, request University card number and arrange building access with Jessy Morton. Add PHC affiliation to University card. Record details on applicable files and Starters and Leavers spreadsheet, set up meeting invite for candidates first day. |
Assignment extensions Get approval from finance that there are funds to support an extension. Contact HR to extend the assignment. Request extension of network access with MSD IT support if required. |
Request the extension with TSS. Check that no staff are at risk of redundancy that could fill the temporary assignment and confirm to line manager that extension can be requested with TSS. Confirm network extension with MSD IT if requested. |
Assignment End Contact HR if the assignment needs to be ended earlier than planned. Let the candidate know in advance. Confirm end of assignment as planned with HR when requested. Submit the Change Access Rights form for any shared drive access to be removed |
Contact TSS to end the assignment Contact Jessy Morton to remove building access from University card. Removed PHC affiliation from University card. Update file records and add to Starters and Leavers spreadsheet. |
