Honorary Contracts
In limited circumstances Honorary contracts can be issued to individuals who are providing a contribution to department activity.
There are expectations and limitations with Honorary contracts, which should be understood before any request is submitted.
Expectations
- Work is carried on projects/research hosted by the department
- The individual will provide significant value and benefit to the department
- Work is voluntary and there is no obligation to carry out particular activities
- Reasons for the individual not being employed are clear and adequate
Limitations
- Honorary contracts cannot be issued to anyone based outside the UK
- Honorary contracts are not eligible for sponsored work visas
- Honorary contracts are not a substitute for a Data Sharing Agreement
- Honorary contracts cannot be issued to University staff or students engaged in other departments as they already have a contractual agreement with the University
- Honorary contracts are not suitable for external collaborators who wish to have access to the CPRD and Orchid databases. In such cases, please contact the IG Team datasecurity@phc.ox.ac.uk for support

Requests to issue an honorary contract must be submitted through the Non-Employee request form a minimum of 4 weeks before the start date.
HR will determine whether an honorary contract is appropriate and will process straight forward requests. Where required HR will refer requests to the People and EDI (PEDI) Committee for approval (HoD for senior posts).
An honorary contract and, where required, any immigration supporting documents will be provided to the individual.
Building access, access to IT systems and access to department facilities must be fully justified in the request and will be provided as appropriate for the work being undertaken.
