ePDR FAQ

ePDR: electronic Personal Development Review

Reviewee: The person completing their PDR

Reviewer: Usually the line manager, this is the person commenting and reviewing the PDR

Share: This will send the ePDR to your Reviewer for them to read and add comments

Sign Off: This is the final step of the PDR and should only be completed after the PDR meeting. Both reviewer and reviewee need to sign off to confirm they agree with the objectives and comments set out in the PDR

ePDR FAQ

Review forms have several statuses that they move between:

  1. Not started: The form has not been started by the reviewee or reviewer
  2. Started: You have saved an answer to at least one question in the review form. Answers are only visible to you until you share the form
  3. Shared: The reviewee or reviewer has shared their answers with the other form users
  4. Completed: The form is no longer editable, and comments are closed. Completed forms can be viewed in the Previous reviews section of your Me page. Forms are completed as soon as the reviewee and reviewers have signed off.

ePDR FAQ

The PDR is between the “Reviewee (the person completing their PDR) and the “Reviewer (usually the line manager). The reviewer will see your form and add comments once you click “save and share”. The HR Team have administrative access to all PDRs to measure completion rates. They will not evaluate them.

If there is personal or sensitive data which you do not wish to include in the PDR you may wish to put a holding note in the form for discussion in the meeting.

ePDR FAQ

Click on the tab “My Reviewee’s”. If your reviewee is not listed there this could be because they have not yet been allocated a form (e.g. new starter) or you are not listed as their line manager in the HR System. Please contact the HR Team HR@phc.ox.ac.uk

ePDR FAQ

If your default reviewer is incorrectly listed on the form please contact the HR Team HR@phc.ox.ac.uk. It is not possible for you to change the default reviewer. If you would like an additional reviewer, for example if you’ve changed job roles recently and would like your former line manager to add comments you can select an additional reviewer by clicking ‘Add’. Please note both the default and additional reviewer will need to approve this selection and both ‘sign off’ the form at the end of the PDR.

ePDR FAQ

The normal expectation is that PDR’s will be carried out with line managers.  There may be cases where it is valuable to add an additional reviewer in the ePDR please see this FAQ.
Please contact the HR Team HR@phc.ox.ac.uk if your line manager changes and this information needs to be updated.

ePDR FAQ

Reviewee should check that the correct Reviewer is listed on their form (see FAQ above). The reviewee should then ensure that they have clicked Share at the top of the form and not only ‘save and close’. As a reviewer search again for the form under ‘My Reviewee’s’, not the form under the ‘Me’ tab as this is your form to complete.

ePDR FAQ

There may be a number of reasons for this including not having set a meeting date yet or that changes have not yet been shared by the reviewee or reviewer. In your form check the drop down box ‘Why can’t I sign off yet?” for a precise answer.

Why can't I sign off

ePDR FAQ

This could be because the other party has made further changes to the form before they signed off, but after you had signed off. Please check these changes and if you agree sign off. If you make further changes to the form they will be asked to sign off again.

ePDR FAQ

On the ‘Me’ tab, under My Forms, click on ‘View previous forms’. Signed off and completed forms are shown here:

Previous forms

For a reviewer your reviewee’s completed forms will still show under ‘My Reviewee’s’ and the status will be updated to ‘Completed’.

ePDR FAQ

Your job description was sent to you with your contract. If you do not have it on file please email hr@phc.ox.ac.uk. You can then upload it to the ePDR for future reference. To do this go to the 'Me' tab, below the forms in the 'My Notes' section click + note. Add a name and description and upload your job description for future reference. You can choose to share this note with your reviewer.

ePDR FAQ

We ask all department members to please use the new ePDR system. If you are having difficulties please contact HR@phc.ox.ac.uk

ePDR FAQ

It is the department’s aim for everyone to have an annual PDR. Occasionally there may be a reason why you do not wish to have a PDR. On the first tab of the form you can indicate this here. This will be sent to your reviewer and you will both then need to ‘sign off’ on the form so you no longer receive reminders.

ePDR FAQ

To receive email notifications you must have logged into the site at least once: https://phcpdr.simitive.com/

When a form is shared with you an email summarising all actions will then be sent the following morning. Alternatively if your reviewer/reviewee let's you know they've shared a form you can log in and view this immediately. Once viewed you will not be sent a notification email.

ePDR FAQ

If a student is on the department's payroll then yes they should have a PDR. If not there is no need for them to have a PDR (and they won't have been allocated an ePDR account).
